Capture ideas by voice, have them appear in Notion automatically. This workflow bridges the gap between spontaneous thoughts and organized notes.

The Problem

Ideas come at inconvenient times—walking, driving, showering. Voice memos capture them, but they pile up unprocessed. Getting them into your note system takes friction.

The Solution Stack

  • Capture: Voice Memos app (iOS) or any recorder
  • Sync: iCloud or Dropbox
  • Transcribe: Local Whisper on Mac
  • Send: Notion API or copy-paste

Manual Workflow

  1. Record voice memo on phone
  2. Sync appears on Mac via iCloud
  3. Transcribe with Sotto
  4. Copy transcript to Notion inbox page
  5. Process and organize in Notion later

Semi-Automated Workflow

Use Shortcuts (Mac) or Hazel to watch your Voice Memos folder. When a new file appears, trigger transcription and copy to clipboard for quick paste into Notion.

Notion Setup

  • Create a "Voice Notes" database
  • Add date and status properties
  • Keep originals for reference
  • Tag and process in weekly review

Tips for Success

  • Process voice notes daily before they pile up
  • Keep recordings short (under 3 minutes)
  • State context at the start: "Idea for blog post..."
  • Don't over-organize—capture first

Voice to Text to Notion

Sotto handles the transcription step. Fast, local, and private. $29 one-time.
